Check and remove document metadata before sharing
A practical document-hygiene workflow for deciding which metadata should remain before external sharing.
Metadata can be useful, irrelevant or sensitive depending on context. The safest workflow is not to delete everything automatically. It is to inspect, decide, change intentionally and verify.
1. Decide why you are checking metadata
Typical reasons:
- sending a document outside your organization;
- publishing a template;
- sharing a draft with a client;
- reducing accidental disclosure of author or review information.
2. Inspect first
Look for names, organization fields, titles/subjects, timestamps, comments or Track Changes indicators, and other unexpected properties.
3. Separate sensitive from necessary
Some metadata may be appropriate or required. Document-control information can be useful for records or regulated workflows.
Do not remove a field just because it exists.
4. Review comments and tracked changes in the source application
A metadata count can alert you to review history. It does not replace reviewing the actual comments or tracked changes before external distribution.
5. Make supported changes on a copy
If the current product exposes a supported edit workflow, change only fields you understand. Keep the original.
For properties the product does not support editing, do not invent a workaround in Help content.
6. Reopen and re-inspect
After saving:
- confirm visible content is intact;
- inspect output metadata;
- verify removed values are gone where the tool supports that check;
- confirm required fields remain.
7. Share the verified output
Use the verified copy as the external version and retain your authoritative source according to your own records policy.
Important limitation
Removing ordinary document metadata does not prove that every possible trace, backup, revision or external-system record has been deleted. Do not make that promise.
