A practical PDF review workflow
A methodical PDF review process using workspace navigation and separate tools for specialized tasks.
A long PDF is easier to review when you separate navigation, reading, specialized processing and decision recording.
PDF Workspace is useful for navigation and reading. Other tools remain separate when the task changes.
1. Start with the authoritative PDF
Confirm you are reviewing the correct version. Keep the source file unchanged.
2. Open the document in PDF Workspace
Continuous view is useful when moving through pages in sequence. The Pages panel helps keep your location visible.
3. Use thumbnails for structure
Page thumbnails are useful for:
- jumping to a section;
- recognizing page patterns;
- returning to a previous location.
The selected thumbnail should follow the current document position in the accepted product.
4. Review continuously when context matters
For contracts, reports and long submissions, a clause or paragraph can depend on the previous page. Continuous review helps preserve context.
5. Move to specialized tools only when the task changes
Use:
- Compress PDF when the problem is file size.
- Document Compare when the problem is differences between versions.
- Other supported tools only for their actual purpose.
Do not overload one workspace action to do a different job.
6. Record decisions outside the viewing tool
A PDF viewer is not automatically a decision register. For important work, keep notes or decisions in the system responsible for the project or matter.
7. Recheck the final version
If the document changes after review, confirm the exact final file and, where needed, compare it against the version you reviewed.
Practical workflow
- Confirm authoritative PDF.
- Open in PDF Workspace.
- Navigate with Continuous view and thumbnails.
- Review important sections in context.
- Use specialized tools only when needed.
- Record decisions separately.
- Recheck final file before approval or distribution.
